Tabletop Exhibit Move-in, Move-out

Exhibitor Move-out: 
Wednesday, May 14 from 6:00 pm – 8:00 pm

Tabletops will be located on the second floor in Conrad BC & D rooms, plus the Conrad Foyer.
Each exhibitor will be provided with a six (6) foot table with gray linen and two chairs.

Tabletops will be preassigned by the A&WMA conference manager. Tabletop locations will be assigned in order of the date their contract was signed. Each tabletop will  have a table tent sign ID with their company name on it. 

Exhibitor Services: Wi-Fi, Electrical Power, Audio-Visual, Security  

Encore is the on-site vendor for the Hilton Minneapolis.

Audio-Visual rentals including video and display equipment, power strips, and extension cords are available but must be arranged ahead of time by contacting and ordering through Encore:

Basic Wi-Fi is complimentary throughout the hotel, however, if more bandwidth is required, it must be arranged in advance with Encore.

Exhibitors are responsible for removing valuables upon departing the exhibit area.

The Conrad Foyer and Conrad B,C & D rooms can all be locked up at the end of each day to secure tabletop displays and any equipment overnight.
 


Shipping Instructions 

Guest Packages/Shipping. The Hotel will not accept any packages more than 1 week prior to your event.  Shipments must include the following information: 

Group Name: “A&WMA PFAS Remediation”
Company Name & Guest Full Name
Date of Function: May 13 - 15, 2025
Shipper Return Address

The Hilton Hotel and A&WMA will not assume any responsibility for the damage or loss of merchandise sent to the Hotel for storage. 
 
The Hilton Hotel has an UPS Store on-site located on the second floor. All inbound and outbound shipments will go through the on-site UPS Store regardless of the carrier you use.

Please review the for all inbound - outbound shipping requirements.
For any questions, please reach out to UPS and they’ll be able to answer and assist.

Exhibitors are responsible for bringing prepaid shipping label(s) of the carrier of choice for return shipments. Exhibitors are responsible for packing up, taping, and securing shipping labels to their boxes. 

All packages, no matter the carrier, come in and out of the on-site UPS store only, not just packages that have UPS Labels. If you have a FedEx label, or other carrier label, those packages will still need to go to the UPS Store for pick up/shipping. 

Exhibitors are responsible for scheduling package pickups from the on-site Hilton UPS Store with your preferred carrier.

Loading Dock: Using the entrance on Second Ave is highly recommended, there are 2 bays on that side and it’s easier to get in and out. 10th Street entrance only has one bay and it’s a tight turn. Everything is first come, first serve.
 


Hotel Parking

The Hilton Minneapolis does have valet as a parking option. Overnight valet is $49 and $60 for oversize vehicles. Our daily rate is $20 up to 8 hours.
