EXHIBITOR INFORMATION SHEET
1. Tabletop Exhibit Area Schedule-at-a-Glance
Move-in, Move-out
Exhibitor Move-in is available late afternoon on Wednesday, May 4, in Regency A-C. Tables will be available on a first-come-first-served basis. A Thursday morning setup is not recommended as attendees will be filing in for registration and breakfast service beginning at 7:30 am.
Exhibitor Move-out should be completed by 6:00 pm on Friday.

Exhibit Area Activities
The Exhibit area is open throughout the conference, with dedicated exhibit area activities during Thursday and Friday morning/afternoon refreshment breaks, and Exhibitor Reception from 5:30-6:30 pm on Thursday evening.

2. Exhibitor Services: WiFi, Electrical Power, Audio-Visual, Security
WiFi. Complimentary WiFi is available to all conference participants.
Electrical Service.
Exhibitors will have access to electrical outlets in the exhibit area. And, while extension cords are available for rental, exhibitors are encouraged to bring their own extension cords and power strips to the conference.
Electrical needs exceeding existing 120 volt/20-amp wall plug service must be arranged in advance and will be charged accordingly. Additionally, installing/labor charges and rental of necessary equipment will be accessed. All equipment must have UL listing information outlining power capabilities. Any charges in conjunction with decorators, entertainers, production, audio visual companies, etc. will be charged to the group unless otherwise specified in advance. Any additional requirements/pricing needs to be discussed with your Event Manager.
Audio Visual Service. The hotel can assist with basic AV needs like power strips ($20), extension cords ($20). Audio-Visual rentals include video and display equipment, High Speed Internet line rentals are available but must be arranged ahead of time with the hotel AV department.

4. Shipping Instructions
Guest Packages/Shipping. The Hotel will not accept any packages more than 3 days prior to your event and notification of deliveries is required in writing. Shipments must include the following information:

The Hotel will not assume any responsibility for the damage or loss of merchandise sent to the Hotel for storage. The exhibit area will be locked after hours, although no security guard will be on duty. Exhibitors are responsible to remove valuables upon departing the exhibit area.
The hotel will assess box and package Shipping & Handling fees according to the schedule below. Fees for exhibitors staying at the Westin will be added to the exhibitor’s guest room invoice. Fees for exhibitors staying at a different hotel, A&WMA will issue an invoice following the conference.

Exhibitors are responsible to bring shipping label(s) of the carrier of choice for return shipments. Exhibitors are responsible for packing up, taping, and securing shipping labels to their boxes. Exhibitors are also responsible for arranging package pickups with you preferred carrier.
